Privacy Policy

This Privacy Policy explains how Vecinello ("we," "us," or "our") collects and uses personal information when you visit our website or use our communications and request-management services, including private pilots and interactions through WhatsApp.

1. Information we collect

The information we process depends on how you use Vecinello:

  • Registration and contact information: your name, phone number, service identifier, and the community or organization associated with your access. This information may be supplied by you or by an authorized person arranging your participation.
  • Messages and requests: messages you send to Vecinello, the replies we generate, details you provide about a request, and related records such as its reference, status, and creation or update time.
  • Messaging information: identifiers and timestamps supplied through WhatsApp, the receiving business channel, and processing or delivery information needed to receive a message and send a reply.
  • Technical information: our infrastructure providers may process IP addresses, request times, browser or device information, and diagnostic or security logs when serving the website or operating the service.
  • Support communications: information you choose to provide when asking a question, reporting a problem, or exercising a privacy right.

Please share only information needed for your request. Avoid sending passwords, payment-card details, identity documents, health information, or unnecessary personal information about other people.

2. How we use information

We use information to identify authorized participants, receive and respond to messages, create and retrieve request records, maintain service history, and provide technical support. We also process information to troubleshoot errors, prevent duplicate processing, protect the service against unauthorized use, and meet applicable legal obligations.

Where European data protection law applies, the basis for processing depends on its purpose. This may include performing an agreement with you, our legitimate interests in operating and securing the service and responding to requests, or complying with a legal obligation. Where a particular activity requires consent, that consent must be obtained separately; this policy does not itself constitute consent.

If an organization arranges your access, it may also process your information for its own purposes. Its privacy information and responsibilities apply to that processing separately.

3. WhatsApp and automated assistance

When you message Vecinello through WhatsApp, we receive the message and associated information through the WhatsApp Business Platform. We use that information to process your request and send a response. This integration does not give Vecinello access to your WhatsApp contact list or your private conversations with other people.

Vecinello uses automated assistance to interpret messages, consult or create request records, and prepare replies. Relevant message content and request records are sent to OpenAI for this purpose. Automated replies can be inaccurate; contact the person responsible for handling your request if you need confirmation or human assistance. The assistant records and retrieves requests; it does not determine your legal rights or eligibility for essential services.

WhatsApp also processes information under its own Privacy Policy. Deleting a WhatsApp conversation from your device does not, by itself, delete records already received by Vecinello.

4. When information is shared

Information is made available as needed to operate the service:

  • Authorized service administrators can access relevant request records within the community or organization they administer.
  • Service providers process information needed to deliver their services. These include Meta/WhatsApp for messaging, Cloudflare for infrastructure and storage, and OpenAI for automated assistance.
  • Legal and security recipients may receive information when disclosure is required by law or necessary to address fraud, misuse, a security incident, or a legal claim, subject to applicable law.

Vecinello's current service does not sell personal information or use message content to deliver targeted advertising.

5. International processing

Our providers operate internationally, so information may be processed outside your country, including outside the European Economic Area. The protections available under local law may differ. Where a transfer is subject to European data protection rules, an applicable transfer mechanism is required, such as an adequacy decision or approved contractual safeguards. You can ask us for information about the arrangements relevant to your data using the contact route below.

6. How long information is kept

Messages, replies, and request records are stored as part of the service history. Completing a request, ending a conversation, or stopping use of WhatsApp does not automatically erase those records. Retention is assessed according to the purpose of the record, whether a request remains active, the need to support the service or investigate an issue, and any applicable legal requirements.

You can request deletion as described below. Some information may need to be retained to comply with law, establish or defend a legal claim, or protect the rights of others. Information held independently by WhatsApp or another organization is subject to that organization's own retention practices.

7. Your choices and privacy rights

You can stop sending messages to Vecinello at any time. You can also use WhatsApp's controls to block the business conversation; blocking messages does not delete information already stored by Vecinello.

Depending on the law that applies, you may have rights to access or correct your information, request deletion, restrict or object to certain processing, or receive a portable copy. Where processing is based on consent, you may withdraw that consent without affecting the lawfulness of processing carried out before withdrawal. These rights may be subject to legal conditions and exceptions.

You may also complain to the data protection authority where you live or work, or where you believe an infringement occurred. In Spain, this is the Agencia Española de Protección de Datos.

8. How to request access, correction, or deletion

Contact the Vecinello representative who arranged your access and state that you are making a privacy or data-deletion request. Include the phone number you used with Vecinello, with its country code, and enough information to identify the records or request concerned. Do not include passwords or identity documents in your initial request.

Requests require human review; an automated WhatsApp response is not confirmation that records have been deleted. We may need additional information to verify your identity and protect another person's information. Requests are handled within the periods required by applicable law, and any restriction or lawful reason for retaining information will be explained in the response.

If your request concerns information controlled independently by your community, organization, or WhatsApp, you may also need to contact them directly.

9. Security

The service uses access controls and technical checks designed to limit unauthorized access and protect message processing. No online service, transmission, or storage method can guarantee complete security. Please keep your devices and messaging account secure and report suspected misuse to the person who arranged your access.

10. Cookies and website technologies

The Vecinello website does not currently set application cookies, embed advertising trackers, or include analytics scripts. Infrastructure providers may still process the technical information needed to deliver and protect the site. WhatsApp and other third-party services have their own technologies and privacy settings.

11. Children's information

Vecinello is intended for people able to use the service lawfully and for authorized representatives of participating organizations; it is not directed at children. If you believe a child has provided personal information that should not be held by the service, please contact us so the matter can be reviewed.

12. Changes and contact

We may update this policy as the service or applicable requirements change. The latest version will appear on this page with its update date. Where required by law, material changes will be communicated through an appropriate service channel.
